Email Best Practices

Email is the primary mode of communication with our clients.

When you arrive at work each day, your first task should be to check your email. Flag any incoming projects, client requests, or updates to ensure nothing gets overlooked. Make note of any considerations from the call centers, such as a project falling short of its goal, the need for more records, or low contact rates, and relay this information appropriately.

Before leaving each day, conduct a thorough review of your client emails to confirm that everything has been addressed. To help keep your email organized, create Smart Mailboxes. These allow you to filter messages from specific addresses or domains into designated mailboxes. You can also create Smart Mailbox Folders to group these mailboxes by organization.

Here are the steps to create a new Smart Mailbox:

  1. Open your email application.
  2. In the top toolbar, click "Mailbox" and select "New Smart Mailbox".
  3. Give the mailbox a descriptive name.
  4. In the default conditions, select "Contains messages that match ALL of the following conditions" and enter the email address of the sender you want to filter.

To create a new Smart Mailbox Folder:

  1. Open your email application.
  2. In the top toolbar, click "Mailbox" and select "New Smart Mailbox Folder".
  3. Name the folder.
  4. Click and drag the desired Smart Mailboxes into the new folder.
