Sending Schedules

Time: 7:30 AM - 8:30 AM

Responsibility: Project Manager / Director, Data Analyst

Duty: Schedule Check

  1. Pull up the Schedule Dashboard in COS.
  2. Review all projects to determine if they are actually on schedule.
  3. Verify that the project goals make sense.
  4. Check the lead status - ensure the center has enough leads to hit today's goals.
  5. Communicate any list issues to the client and set a follow-up reminder if needed.
  6. Review for any new, data ready, or on-hold projects. If set to start today, follow up with the client and project team to get them launched.
  7. Check project logs to see who added new or data ready projects, and when.
  8. Note that patch projects typically do not run on weekends - change the status to "HOLD" if not being dialed.
  9. Check for any new emails or texts from clients regarding new projects.
  10. Ask questions to the project team or client as needed and set follow-up reminders.
  11. Get new projects into the system and cross-check.

Duty: Schedule to Centers (8:30 AM, 10-11 AM, 2-3 PM, 5-6 PM)

  1. Email the schedules to the centers from COS, ensuring only the appropriate recipients get each schedule.
  2. Call each center by 10-11 AM to review and confirm the schedule.
  3. As new projects are added during the day, get their confirmations.
  4. Create tickets and add center notes to communicate more information.
  5. Confirm the goals are correct on the schedule and communicate any changes to the centers.
  6. Conduct a mid-afternoon schedule check and get their confirmation on any hot items or recent tickets.
  7. As new projects come in, get them launched within 30-60 minutes per procedure.
  8. Conduct an evening schedule check with all centers, email the schedule, and request an active project progress report.

Duty: Schedule to Client (9:30-10 AM, 5:30-6 PM)

  1. Email the schedules to the client, ensuring you have the correct client and that the information is clear and correct.
  2. Communicate any notes, issues, or clarification on outstanding items to the client.
  3. Conduct an evening schedule check with the client, email the schedule, and get their confirmation.
  4. Communicate any urgent needs or point out items on the COS.
