Clients can typically acquire and send their own reports. However, clients may occasionally request that you send the reports to them.
In the COS dashboard and all reports, there is a small MAIL icon in the top right column of each report. Clicking this icon will bring up an email dialog where you can send the report to a client. You can also email the report to yourself, add additional content like a data file, and then forward it to the client.
When emailing a report to a client, be sure to remove any forwarding information, remove quote indents from the email, and update the subject line as needed. Additionally, ensure the graphic of the report is set to "ACTUAL SIZE" when sending.
To access reports in COS:
1. Log into COS and locate your project on the schedule or project manager by its project number.
2. Go to the project dashboard, where you will find a disposition report.
3. For more in-depth reports, click "Report" on the left side of the screen.
When reading your report, note the following:
- Total Completes: the number of messages successfully delivered to your list
- Total Bad Numbers: numbers with issues that prevented message delivery
- Text Project Responses:
- Captured Response: the message was sent, and the recipient replied
- No Capture: the message was sent, but the recipient did not reply
- Rejected: the message was not sent due to an issue
- Live Call Project Responses: Captured responses for questionnaires are found on the DailyReport tab
To share your project reports, use the icons at the top of each report:
- Download a PNG (image) report by clicking the image icon
- Email the report by clicking the envelope and entering the email address
- Print the report by clicking the printer button
- Filter reports between Cell, Landline, and All phones by clicking the filter icon
For more detailed information about your projects and specific replies, you can download the databack:
1. Under "Campaign Database," click "Download Campaign Data."
2. Select "Select Records" to choose specific questions or "All Records" for all available information.
3. Click "Download File" to access the databack.
When reading the databack, note the following:
- The first few columns contain the original data you uploaded.
- Misc1 is the column where you'll find text replies (for text projects).
- Misc fields are used to capture or disseminate information outside of a standard questionnaire.
- Status codes indicate whether the message was sent successfully (C) or not (blank).
- In Q1, a 1 means the recipient received and replied, a 2 means the recipient received but did not reply, and a 3 means the recipient did not receive the message.
